Provide administrative assistance & project support to the Manager and staff.
Ensures arrangements for meetings and conference calls, including coordinating logistics, materials needed and scheduling with other companies and/or departments.
Orders and maintains departmental supplies.
Administers incoming mail and coordinates outgoing deliveries.
Assists in the preparation of all AFE’s, Wire Transfers and Check Requests.
Assists in the processing and coding of invoices.
Handles all travel arrangements and expense reports for the department.
Primarily responsible for the administration of all written communications derived from the department.
Communicate effectively and professionally with all departments within Apache.
Manage calendars, answer phones, screen to control interruptions.
Anticipate needs of departments; set up and revise systems as needed.
Maintaining conference rooms and catering orders for meetings.
Provide backup support to other Administrative Assistants as required
Prepare PowerPoint Slide presentations for quarterly reviews
5 to 7 years of department administration support experience preferred
Must be proficient in all Microsoft applications, Power Point, Outlook appointment setting, LYNC, SharePoint, Webex and LifeSize meetings setup and administration
Excellent communication and grammar skills, exhibited both in conversation and written materials
Will need to be a Notary Public
