Key Duties/Responsibilities

Position Summary:

Responsible for providing administrative support to Apache’s Midstream and Marketing executives, including preparing correspondence, proofreading, maintaining a filing system, keeping the calendar, making travel arrangements, interfacing with the Midstream and Marketing staff, handling logistics for meetings, preparing information for use in meetings of executive staff and the board of directors, and assisting in the preparation of presentations.


Position Duties include but are not limited to the following:

  • Manage the professional calendar of the Midstream and Marketing executives and the departmental calendar.
  • Monitor meeting start times to ensure timely attendance of executives and other staff
  • Work closely with other executive assistants to coordinate executive schedules.
  • Make travel arrangements, including international travel.
  • Take incoming calls and appropriately screen callers.
  • Serve as liaison between Midstream and Marketing executives and various functional groups. 
  • Arrange conference/video calls.
  • Greet company management teams and any external visitors.
  • Interface with corporate Directors and executives, and keep proper documentation.
  • Prepare correspondence; proofread written materials.
  • Collect and publish agenda items for departmental meetings. Take effective notes during meetings.
  • Communicate with staff regarding administrative items, including budgets.
  • Produce slides and narratives in PowerPoint that are effective and reflective of the intended message.
  • Manage SharePoint lists, documents, and processes.
  • Manage the Midstream and Marketing executives’ professional files.
  • Fill out expense reports accurately and timely; assist with coding and routing of invoices.
  • Provide frequent support to other managers and marketing team members within the department as needed including assistance with report generation and other tasks.

Job Qualifications



Strong ethics and professionalism. Strong skills in the areas of scheduling, communication, proofreading, organization, work ethic, initiative, professional judgment, typing, drafting, problem solving, and the use of e-programs. Ability to organize work in order to meet deadlines, work effectively with employees at all levels of the organization, maintain a hard copy and electronic filing system, and prioritize tasks. Ability to work effectively under pressure in a fast paced environment, while being flexible, reliable, proactive, highly organized and detail oriented. Capable of performing duties with a high level of accuracy and discernment while maintaining strict confidentiality. Comfortable interacting with leadership at the highest levels of the organization.  



Preferred Experience:

  • At least 2+ years of professional/business experience.  Administrative experience is a plus
  • Must be highly proficient in Microsoft Word, PowerPoint, Excel, Outlook, LYNC, SharePoint, WebEx, and other commonly used e-programs. Must be very tech savvy.  Keen attention to detail is imperative.


Preferred Education:

  • Bachelor’s degree preferred


Physical Demands and Working Conditions:


Normal office environment.  May require availability for extended hours during peak periods.
